Don't move the mountain, we come to you

Conferences at Mt Hotham or Dinner Plain


Great Alpine Food can access many different lodges and apartments that can sleep and cater for conference groups of around 30 people.

The following are 2 options for conference catering:

All Prices are GST inclusive and based on a minimum of 30 people, should delegate numbers drop the staff price would increase!

Option 1

  • Price per person $80 per day with a minimum of 3 days including:
  • Breakfast: Cooked - buffet style
  • Cooked breakfast i.e.: bacon & scrambled eggs with toast (Menu will vary daily)
  • Assorted cereals
  • Toasts & spreads
  • Assorted juices
  • Tea & coffee

Freshly brewed coffee, tea & a homemade snack or fresh fruit

Lunch

  • A soup such as Vegetarian Minestrone soup served with shaved parmesan (delegates heat & serve the soup themselves)
  • Packed lunch with freshly made assorted rolls or sandwiches, a bottled juice drink, a piece of fruit & a homemade treat.
  • (A packed lunch allows for any possibility – delegates may need to refresh & go for a walk or eat outside; they may be out skiing in which case they can take lunch with them.
  • Should the delegates not be in for lunch the soup can be served as an entrée or a post ski snack.
  • The live in staff member needs to have a break during the day and this packed lunch option allows for that.)

A/T

  • Freshly brewed coffee, tea & a homemade snack or fresh fruit Dinner 2 courses, either entrée & main or main & dessert followed by freshly brewed coffee & tea.
  • (Vegetarian & special dietary requirements can be accommodated)
  • Evening meals include soft drinks, juices & water
  • Bowls of fresh fruit will also be available at all times. 

Option 2

Price per person $66 with a minimum of 3 days based on 30 people. Including:
  • Breakfast: Continental
  • Assorted cereal
  • Toasts & spreads
  • Assorted juices
  • Tea & coffee

A/T

  • Freshly brewed coffee, tea & a homemade snack or fresh fruit
  • Dinner 2 courses, either entrée & main or main & dessert followed by freshly brewed coffee & tea.
  • (Vegetarian & special dietary requirements can be accommodated)
Evening meals include soft drinks, juices & water
Staff: Both options include staff.

One staff member will live on site and do breakfasts, pack the lunches & assist with dinner service, the second staff member will travel up and down the mountain daily delivering dinners & fresh food for the following day and cooking dinner each evening. The live in chalet host will require their accommodation either in the lodge or close by, preferably with their own room or sharing with a same sex delegate. The cost for their accommodation will need to be covered by the client.

Conference Booking Terms & conditions:

Please read these terms & conditions carefully,
Payment of deposit signifies acceptance of the following

Confirmation of booking

  • The booking will be considered as confirmed upon receipt of $1000.00 as deposit. Cheques should be made payable to Beparo P/L we also have credit card facilities available (a 5% surcharge applies to all credit card payments).
  • Payment of deposit signifies acceptance of the following terms and conditions.
  • Final attendance numbers & payment
  • The final minimum & chargeable numbers of guests attending the function is required 14 days prior to the event.
Charges will be rendered accordingly. Please note your final guests number given on this date is the minimum chargeable. Your guest numbers can increase from that amount but should they decrease you will still be charged for this number of guests.

Balance to be paid on completion of the function in the form of cheque or cash unless alternate arrangements are previously discussed.

In case of cancellation
  • More than 60 days prior to a function - Deposit will be refunded less a 30% booking fee.
  • Past 60 days & up to 28 days prior to A function - Full deposit will be retained as compensation for lost business
  • Past 28 days prior to the function. - The organizer shall upon demand of Great Alpine Inn pay a fee to cover any incurred cost for the said function.
Road Closure

In the event that Great Alpine Food cannot gain access to the mountain due to adverse weather conditions or road closure, Great Alpine Food will not be held liable for any losses incurred. Please be assured Great Alpine Food will make every effort to fulfil its obligations. Should road closure prevent your booking from taking place on the date booked, Great Alpine Food will attempt to fulfil the booking the following day, should this be unsuccessful due to the organizers unavailability or due to prior bookings on behalf of Great Alpine Food, the organizer shall pay for any costs incurred including food, staff & travel expenses.

Equipment hire: Audio & conference equipment hire can be organized for you, the cost incurred as a result will be added to the function charge.

Menus
Menus and prices are negotiable; we reserve the right to make any changes as deemed necessary.

Timing
Patron agrees to begin and end the function at the scheduled times agreed upon, staff are hired on an hourly basis, in the event of an extension to the finishing time, charges for staff will be made accordingly.

 
Over Snow transport
Where O/S transport is required to transfer food & equipment it is charged at cost – around $40- $50
 
Sunday & Public holiday surcharge
a 15% daily surcharge applies on Sundays and public holidays
